How Does Switching to an International School Work?

ISR International School on the Rhine ·

Switching to an international school usually takes place in several clearly defined steps: initial contact and application, submission of the required documents, an admissions interview, and the school’s final decision. Depending on the school and timing, the entire process takes anywhere from a few weeks to a few months; with complete documents, it usually takes between two and eight weeks. Many international schools also admit students in the middle of the school year.

In this article, we answer the most common questions about changing schools so that you know what to expect for you and your child.

When Is the Right Time to Change Schools?

There is no right time to change schools in an absolute sense, but there are phases that are particularly well suited. Transitions between school levels, such as moving from elementary school to secondary school or the start of a new school year, are good opportunities because children can then start together with a new class.

However, many international schools also admit students in the middle of the school year when circumstances require it, for example when the family moves or a parent is transferred for work. What matters is less the date than whether the child is emotionally ready and whether the new school fits their current level of learning. The earlier you get the process started, the more flexibility you have in planning.

What Do Children Need to Bring to Attend an International School?

To enter an international school, children primarily need openness to a new learning environment and a willingness to learn in a different language of instruction. Solid English skills are helpful but not always strictly required, as many international schools offer targeted language support.

In addition, the child’s previous school career and level of learning play a role. During the admissions process, schools check whether the child can follow the curriculum of the respective grade level. This does not mean that children need to have perfect grades, but that a realistic assessment of their level of learning takes place so that the child can get off to a good start.

It is also important that the family supports the school’s concept. International schools often actively foster values such as personal responsibility, critical thinking, and intercultural awareness.

How Exactly Does the Application Process at an International School Work?

The application process at an international school usually begins with initial contact, either via the school website, by email, or by attending an open information day. This is typically followed by a formal application form, the submission of documents, and a personal conversation with the child and the parents.

What Happens During Initial Contact and Application?

After first contacting the school, you fill out an application form that asks for basic information about the child, their previous school career, and the family’s educational goals. Many schools offer this form online.

What Happens in the Admissions Interview and Placement?

The next step is often an admissions interview in which the child and the parents get to know the school. Sometimes a short placement test is also conducted to assess the child’s level of learning. The goal is not selection, but the best possible placement in the right class.

Which Documents Are Needed for the Application?

To apply to an international school, you usually need current report cards from the last one to two years, a photo ID for the child, and proof of the family’s residence. Depending on the school, additional documents may be required.

The following documents are frequently requested:

  • Report cards from the last one to two school years (ideally with a certified translation if not in English or German)
  • The child’s birth certificate
  • Passport or ID card
  • Proof of current residence, for example a registration certificate
  • Proof of vaccination or medical certificates, if required by the school
  • A letter of recommendation from the previous school (not always mandatory, but helpful)

It is advisable to ask the school early on which documents are specifically required, as this can vary depending on the school and grade level.

How Long Does the Entire Switching Process Take?

From first contact to the actual start of school, the process of switching to an international school usually takes between two and eight weeks, provided all documents are complete. When switching at the start of the school year, the lead time may be longer, as more families are going through the process at the same time.

It pays to start the process as early as possible, especially if you are planning a switch for the new school year. For families who move at short notice or relocate from abroad, however, many international schools are flexible and make every effort to enable a start as quickly as possible. Clarify directly in the initial conversation which time frames are realistic.

How Can Children Master the Transition Into a New School Community?

Children master the transition into a new school community best when they feel welcome and well supported from the start. Open communication between parents, child, and school is the most important factor, and many international schools have dedicated programs to introduce new students to the community.

The following strategies help children settle in:

  • Talk about the switch early: Children who are well prepared and allowed to ask their questions approach the new situation more openly.
  • Take advantage of extracurricular activities: Sports teams and art or music groups help children make friends quickly.
  • Stay in regular contact with the school: In the first few weeks, parents should keep an open dialogue with the teachers so they can respond early to any difficulties.
  • Allow for patience: It is completely normal for settling in to take a few weeks. Children need time to build trust.

International schools are usually particularly experienced in integrating children from different cultures and with different backgrounds. The diversity of the school community is often an advantage, as many classmates have experienced a change of school themselves.

How Does ISR International School on the Rhine Support You When Changing Schools?

International schools usually have a structured admissions process that guides families step by step through the switch. ISR International School on the Rhine in Neuss, near Düsseldorf, Germany, is a good example of what such a process can look like in practice; all details are on the ISR admissions and application page.

ISR Admissions Step 1: Applicant Questionnaire

The process begins with an applicant questionnaire that collects basic information about the family and the child. Applications are possible year-round, including during the current school year. If you are planning a switch for the coming school year, you should ideally start the process in late winter or spring to allow enough lead time.

ISR Admissions Step 2: Campus Tour

In the second step, families are invited to visit the ISR campus in Neuss in person. The admissions team welcomes visitors, gives them a tour of the school, and offers an opportunity to get to know the school community. This step helps parents and children get a realistic picture of the school.

ISR Admissions Step 3: Submit Report Cards

For the further review, report cards and records of achievement from the last two years are required. Depending on the child’s situation, psychological or neurological assessments may also be relevant, if available.

ISR Admissions Step 4: Knowledge Check and Placement Test

The placement process differs depending on the grade level:

  • Grades 1 and 2: A short conversation with the school coordinator.
  • Grades 3 to 9: A placement test in English, math, and German that lasts between 30 minutes and three hours.
  • Grades 10 and 11: Social sciences and natural sciences are added, and the test can take one to two days.
  • From grade 8: The process is supplemented by a conversation with the school principal.

In all cases, the goal is a realistic assessment of the child’s level of learning in order to place them in the appropriate grade.

ISR Admissions Step 5: Admission Decision

The admission decision is based on the child’s individual profile. In addition to their academic level, motivation as well as social and emotional development are taken into account in the assessment.

ISR Admissions Step 6: School Contract

Once the decision has been made, families receive an Offer of Placement and the enrollment contract. Signing it completes the admissions process.

For questions about the admissions process, Isabel Reimann and Aicha Gall from the ISR admissions team are available as contacts. If you would like to get to know the school in advance, you can attend one of the ISR Info Days or arrange an individual visit.
